THE JOB

Live Nation Entertainment’s Media & Sponsorship Division is seeking an Administrative Assistant. You’ll provide a full range of administrative support to our departmental executives in a dynamic environment, including scheduling meetings, maintaining calendars, making travel arrangements, processing expense reports, and assisting with projects.

In addition to these responsibilities, you’ll have the opportunity to support the Sales Enablement Team This role relies heavily on cross-team coordination + communication, ensuring our team is set up for success.

Live Nation Media & Sponsorship architects, sells and manages the company’s national corporate sponsorship programs with the world’s most recognizable brands. It is an exciting, fast-paced team that collaborates with all facets of Live Nation’s business including venues, festivals, ticketing, artists, content, media (digital, social, mobile), promotions, and concert production. MANAGEMENT

  • This position will be a hybrid role and include executive assistant duties along with project coordination duties.

  • 50% of tasks will be administrative support:

    • Support multiple executives with administrative tasks, including but not limited to scheduling meetings, submitting travel expenses, and placing hospitality orders.

    • Facilitate Sales Enablement team operations by managing agendas for team meetings, compiling meeting notes, and tracking various team initiatives.

  • 50% of tasks will be project coordination:

    • Monitor budgets for a portfolio of projects and ensure invoices are submitted in a timely manner.

    • Assist Project Managers to coordinate the development of sponsorship asset projects.

    • Work closely with Project Managers to audit inventory catalogs, manage fan-facing content, and ensure compliance with client contracts.

    • Produce digital reports on a regular cadence to showcase impression data for clients.

WHAT THIS ROLE WILL DO

  • Book transportation, arrange lodging and meeting accommodations.

  • Handle expenses and place ticket orders for executives in a timely manner.

  • Draft team communications – call agendas, recaps, highlights and relaying general information.

  • Help organize and plan team events including offsites, summits and workshops.

  • Proactively develop and maintain positive working relationships with key internal and external customers.

  • Improve bandwidth and effectiveness of senior leadership through special projects as needed.

  • Ensure deal trackers are maintained and kept up to date.

  • Optimize and improve processes and the overall approach where necessary.

  • Use Outlook, Excel, PowerPoint, Asana, and Airtable to complete daily tasks and facilitate team communication.

WHAT THIS PERSON WILL BRING

  • Bachelor’s degree required.

  • Minimum 1-2 years of relevant business experience.

  • Excellent proficiency in Microsoft Office Suite, Asana, and Airtable, along with an aptitude for new technologies are essential skills.

  • Strong interpersonal and leadership abilities with excellent oral and written communication skills.

  • Able to handle sensitive information in a confidential manner.

  • Ability to independently manage one’s time and prioritize multiple tasks in order to meet associated deadlines.

  • Ability to prioritize and reprioritize, seeing around corners to think ahead and predict possible needs.

  • Knack for communicating with different teams and work styles.

  • Have the drive to take initiative, work independently, and be accountable while also working as a team player who is collaborative, positive, and flexible.

  • Have impeccable attention to detail in a fast-paced environment.
